Frequently asked questions
What exactly is an AI agent on PROMIVO?
A versioned definition: a system prompt, a model configuration, a set of tools it may call, an input and output schema, execution limits, and a risk ceiling for the actions it can take on its own. It is deployed into your workspace and runs server-side.
Do I need my own AI provider key?
Yes, on every plan including the free one. You connect your own Anthropic or OpenAI account, and the model spend lands there at the provider's own price with nothing added by us. PROMIVO charges you for the platform and the agents, never per run — so we do not ration executions, and your AI cost is between you and your provider. There is no PROMIVO-funded allowance and no fallback to a PROMIVO key: without your own key connected, an agent does not run.
What happens to my data and credentials?
Integration credentials are encrypted at rest with AES-256-GCM and are never sent to the browser. Agents only receive the data a workflow step passes them, and every tool call is permission-checked at run time.
Can an agent send an email or change a record without me?
Only if you allow it. Actions are classified as read, write or destructive. An agent version carries a maximum risk it may perform automatically; anything above that is held for approval.
How is usage calculated?
Every run records its executions, input and output tokens and API calls, and the dashboard shows them. Those numbers are for your visibility rather than for billing: the model spend is between you and your provider, and PROMIVO does not cap how many times you run an agent. A run only happens on your own key, so there is nothing here for PROMIVO to bill.
What if I need an agent that is not in the catalogue?
Submit a brief describing your business, the problem, your current tools and the outputs you need. Three scopes — Adapted, Built and Regulated — and each is included with an annual plan rather than sold separately. The agent is built from your brief and delivered into your workspace, yours to own.
Can I cancel or change plans?
Yes. Plans can be upgraded or downgraded at any time from the billing page, which opens the customer portal of our payment provider. Cancellations take effect at the end of the current period — you keep what you paid for until it ends.
